WhatsApp template approval is Meta's review of a message you want to send outside the 24-hour customer service window, such as an order update or a promotion. In Inaiy, open Templates, click Create template, enter a name, category, and language, write the body with variables like {{1}}, fill in an example for each variable, and click Submit to Meta. The template shows PENDING until Meta approves it, then APPROVED and ready to send.
Templates power broadcasts, follow-ups after the 24-hour window, and automated messages, so getting them approved is the first step for most outbound messaging.
Who this is for and what you need first
This guide is for anyone who writes outbound WhatsApp messages: marketers, support leads, and operations teams.
You need:
- A connected WhatsApp number with a verified business on Meta.
- The message you want to send, with the parts that change for each customer, such as name or order number.
- A realistic example value for each variable. Meta rejects templates without examples.
Steps to get WhatsApp template approval
1. Open Templates
Click Templates under Messaging. The list shows every template with its category, language, status, and creation date. Filter by category, status, channel, or language, or search by name or content.
Click Sync from Meta to pull templates and statuses created in WhatsApp Manager. Click Create template (callout 1) to start a new one. Approved templates show a green APPROVED badge (callout 2).
2. Fill in the template details
In Template details:
- Template name: lowercase letters, numbers, and underscores only, such as
order_shipped_update. - Category (callout 1): UTILITY for updates about something the customer already did, such as an order; MARKETING for promotions and offers; AUTHENTICATION for one-time passcodes.
- Language: the language of the message.
- Owner team: optional, to show which team owns it.
- Template type: Standard, Authentication, Carousel, or Limited-time offer.
3. Write the content
Under Content:
- Header type: none, or a text or media header.
- Body: the main message, up to 1,024 characters. Click Insert {{ variable }} (callout 2) to add a placeholder such as
{{1}}for parts that change for each customer.
The Live preview on the right shows the message as it will appear in WhatsApp.
4. Add variable examples, footer, and buttons
Scroll down. Under Variable examples (callout 1), enter a realistic value for each variable, such as Asha for {{1}} and ORD-1001 for {{2}}. These are required for Meta submission when you use variables.
Optionally add a Footer of up to 60 characters, and Buttons: Quick Reply, URL, Phone Number, WhatsApp Flow, or Copy code / coupon.
5. Submit to Meta
Check the preview one last time, then click Submit to Meta (callout 2). Save draft keeps it in Inaiy without sending it for review.
How to confirm it worked
- Back on Templates, the new template shows PENDING.
- Click Sync from Meta after a while. Most templates move to APPROVED within minutes; some take up to a day.
- If it shows REJECTED, open it to see the reason, fix the content, and use Resubmit, which submits it as a new template.
Other statuses you may see: DRAFT (saved, not submitted), PAUSED or DISABLED (Meta stopped it after poor customer feedback), and IN_APPEAL.
Common mistakes
- Choosing UTILITY for a promotion. Meta reclassifies or rejects templates whose content does not match the category. Anything with offers, discounts, or "check out our new" is MARKETING.
- Starting or ending the body with a variable. Meta rejects bodies like
{{1}}, your order is ready. Put words before the first variable and after the last one. - Placeholder examples. Examples like
testorxxxget rejected. Use realistic values, such as a real-looking first name and order number.

Frequently asked questions
How long does WhatsApp template approval take?
Meta reviews most templates within a few minutes, and almost all within 24 hours. The template shows PENDING in Inaiy until then. Click Sync from Meta on the Templates page to pull the latest status. If a template stays pending for more than a day, check your WhatsApp Business account in Meta Business Suite.
Why was my WhatsApp template rejected?
Common reasons are a category that does not match the content, a variable at the very start or end of the body, missing or unrealistic variable examples, and content that breaks WhatsApp's commerce or business policies. Open the template in Inaiy to see Meta's reason, fix it, and resubmit it as a new template.
Can I edit a template after it is approved?
Meta allows limited edits to approved, rejected, paused, and disabled templates, and each edit goes back for review. For bigger changes, create a new template with the updated content under a new name and submit it. Keep the old one until the new one is approved, so your campaigns keep working.
