To invite team members in Inaiy, open Settings → Users, click Invite User, enter the person's name and email, pick a role, and click Send Invitation. They get an email, set a password, and join your workspace with only the access that role allows.
This guide starts one step earlier, with creating the workspace itself. By the end you will have a workspace with the right company and regional settings, invitations out to your team, and a team ready for routing and reporting.
Who this is for and what you need first
This guide is for the person setting up Inaiy for a business: usually the owner, an operations lead, or a support manager.
You need:
- A work email address for yourself.
- The names and work emails of the people you want to invite.
- A rough idea of who does what: who replies to customers, who runs campaigns, who manages settings.
- The Owner or Admin role to invite people. You get the Owner role automatically when you create the workspace.
Steps to invite team members in Inaiy
1. Create your workspace
Go to inaiy.com and click Start free trial. Enter your full name, choose a Workspace URL, and add your email, a password, and your mobile number. Tick the terms box and click Start free trial. You can also sign up with Google or Facebook.
The workspace URL becomes your web address, such as asha-demo.inaiy.com. Inaiy checks it as you type and shows Available when nobody else has it.
2. Check your organization details
Click Settings in the left menu, then Organization. Click Edit to set your company name, display name, website, support email, and support phone.
Under Regional, check the country, timezone, currency, date format, and time format. The timezone matters: reports, business hours, and SLA timers all use it.
3. Open the Users page
In Settings, click Users under People. You see everyone in the workspace with their department and status. Use the search box to find a person by name or email, and Export CSV to download the list.
4. Fill in the invitation and pick a role
Click Invite User. A panel opens on the right.
- Enter the First name and Email. Last name, mobile, department, and designation are optional.
- Under Roles, pick one role (callout 1). Choose the smallest role that lets the person do their job:
- Agent: views contacts and handles assigned conversations.
- Manager: manages users, contacts, templates, chats, and campaigns.
- Admin: everything except billing, ownership, and deleting the organization.
- Viewer: read-only access.
- Owner: full access. Keep this to one or two people.
- Leave Teams empty if you have not created teams yet. You can add people to teams later.
- Click Send Invitation (callout 2).
The person gets an email with a link to join. The link expires after a few days (72 hours by default), so ask them to accept it soon.
5. Create a team
Teams group people by function, such as Sales or Customer Support. Queues, routing rules, and reports can then work by team instead of by person.
Click Teams under People. A new workspace shows No teams yet. Click Create Team. Teams are available on the Starter plan and above.
6. Name the team and save it
Enter a Team name, add a short description of what the team handles, and pick a color. Manager and Timezone are optional; leave the timezone on the organization default unless the team works in another region. Click Create Team.
After the team exists, open it and use Assign users to add members. People must accept their invitation before you can pick them as team members or managers.
How to confirm it worked
Go back to Settings → Users and open the status filter. Choose Invited to see people who have not accepted yet. When someone accepts, their status changes to Active and they can sign in at your workspace address.
If someone says they never got the email, ask them to check spam, then confirm the address on the Users page.
Common mistakes
- Giving everyone Admin. Admins can change routing, channels, and settings. Most people who answer chats need Agent. Start small; you can change a role any time.
- Inviting a personal email by accident. The invitation goes to exactly the address you type. If it is wrong, the person cannot join. Check the address before you click Send Invitation.
- Skipping the timezone. If the organization timezone is wrong, business hours, after-hours replies, and SLA timers fire at the wrong time. Set it before you build anything else.

Frequently asked questions
How many team members can I invite to Inaiy?
It depends on your plan. Free includes 1 user, Starter 5, Growth 20, and Business 100. Teams follow the same pattern: none on Free, 2 on Starter, 10 on Growth, and 50 on Business. Open Settings, then Subscription, to see your plan and how many seats you are using.
Why did my team member not get the Inaiy invitation email?
Most missing invitations are in the spam or promotions folder, or were sent to a mistyped address. Ask the person to search their mail for Inaiy. Then open Settings, then Users, filter by Invited, and check the email address. Invitation links expire after a few days, so send a fresh one if needed.
Can I change a team member's role after they join?
Yes. Open Settings, then Users, find the person, and click the edit icon on their row. Choose the new role and save. The change applies the next time their page loads. You need the Owner or Admin role to change roles. Keep the Owner role for one or two people.
